Our Medical Concierge team is here 24/7, 365 days a year, focused on ensuring that your transfer into our private hospital network runs smoothly and safely. We’re here to help in any way we can. That includes safely coordinating the handover and admissions process from the facility where you’re currently receiving treatment into our care.

Initial referral

When you contact us, we’ll respond straightaway, and you’ll be assigned a clinical case manager. They’ll personally look after the whole transfer process, advocating for you and keeping vital clinical details front of mind.

Consent and clinical liaison

We’ll give you a consent form which you’ll need to sign, and we’ll contact your current medical team on your behalf, whether you’re at another private hospital or at an NHS hospital, to discuss your case. We’ll also ask them to send over any images and medical notes we need.

Transfer process

Your medical notes and images will be reviewed by a specialist HCA UK consultant, and they’ll decide whether you’re safe and stable to transfer.

Insurance authorisation

If you have insurance cover and would like to use it, we’ll ask for and complete your transfer form and seek authorisation. We’ll keep you updated throughout this process.

Hospital admission

We’ll arrange for a private ambulance to safely transfer you to your new HCA UK hospital, where there’ll be a detailed handover to your new clinical team and lead consultant.

Diagnosis and continued treatment

Your consultant will expertly review your diagnosis and book any further tests or scans that you may need. These may include blood tests and a CT scan. They’ll use the results to continue to manage your treatment, and they may also recommend interventions such as intravenous antibiotics or intravenous fluids.

Yes, having medical insurance does not mean you have to use it. You have the choice to use your cover or be treated by the NHS. Additionally, choosing to have your treatment privately does not mean you will no longer be entitled to NHS care. The NHS is always available to you, and the accepting facility are able to transfer you back if needed.

If you have health insurance: It’s good to know that we work with a range of health insurance companies from all over the world, including BUPA, AXA, Aviva, Vitality, Cigna, Blue Cross Blue Shield and International SOS. Contact your insurer for information about how to access an HCA UK facility under your policy.

If your government is sponsoring your treatment: We work with a number of embassies and high commissions in the UK. Please contact your embassy representative or medical attaché in the first instance to confirm that you’re eligible for cover. Once this is confirmed, we can then arrange to treat you in one of our facilities. HCA UK accepts a 'letter of guarantee' from a large number of embassies and high commissions and this letter of guarantee must be received by the team at the HCA UK facility in question on the day of your appointment at the latest. Preferably, we would receive it before that day.

All our London facilities are within easy reach of London Heathrow airport, and we also offer hospitals in Birmingham and Manchester, both within easy reach of international airports. 
All our luxury in-patient private rooms are designed with rest and rehabilitation in mind. They have ensuite bathrooms and separate changing spaces and offer you access to international TV channels and newspapers and bespoke menus catering for any special dietary, cultural or religious requirements you may have.
Yes, of course. Our teams will be there for them, as well as for you. We offer comfortable and well-appointed lounges for both you and any members of your family who are travelling with you, as well as multi-faith prayer rooms, interpreters and translation services, family liaison and a whole range of wraparound support from our dedicated concierge service.
As well as admitting self-pay patients, we work with all major International Private Medical Insurers (IPMI) and embassies. We accept cheques if they are drawn on a British bank account, all major debit cards including Visa, Mastercard and American Express, cash and travellers’ cheques. 
Our colleagues in the NHS are extremely busy and transfers from it are not fully within our control. Here’s how the transfer process works and what you can do speed things up:
  • We’ll request consent from you to share your medical notes. The faster you can complete this, the smoother and quicker the whole transfer process will be.
  • All your medical notes and images will then be requested from NHS to ensure that we can deliver safe, high-quality continuity of care.
  • Your medical notes will be sent to a central NHS email address that our concierge team can access.
  • Once we have received your notes, they’re then shared with your new HCA UK consultant.
  • Your HCA UK consultant will next need to review them and accept your case.
  • For your safety, we’ll then get confirmation from your NHS clinical team that you’re clinically stable and safe to transfer before we can get the process underway.
Due to high NHS workloads, sometimes we’ll need to wait up to 48 hours for your medical notes to be transferred. If one of our HCA UK consultants also works at the NHS hospital in question, they can often reach out personally to your NHS consultant to help speed the transfer.
No, we have a secure image exchange portal (IEP) system in place, which allows the NHS to electronically transfer diagnostic images to HCA UK.
Yes, you do. All private ambulance transfers are funded by patients themselves, although some insurance companies, including international insurance firms, may offer you a contribution towards the cost. We’ll let you know in advance about any private ambulance transfers you may need and the cost of each.

Either you or a family member can simply pay over the phone using a credit card. One of the concierge team will give you all the details you need, including the cost and a payment contact number. 
Yes, ambulance crews do usually allow a loved one to travel with you in the ambulance, but health and safety always come first, so it’s at their discretion and depends on your condition. 

If you’d like to have a loved one with you, we’ll always discuss that with the team of paramedics who will be looking after you and advocate on your behalf.

There’s no fee for HCA UK’s services, the medical concierge centre is a free service for urgent critical transfers and admissions. The only cost is that of the care you receive at our hospitals, which will usually be covered by any private medical insurance you may have. 

You will, however, need to cover the cost of any private ambulance transfer you may need, although some insurance companies will also cover this. You should check this directly with your own insurer.

Transparency is important to us, and the cost of your medical care once you’ve been transferred to us will depend on your specific condition, the ease of diagnosis and the recommended treatment pathway.

In the initial stage, we'll send you a cost guide, but please be aware that the final cost of your treatment may be more than the approximate guide price. Once your consultant has seen you, ordered tests and decided on the best treatment approach, we can give you a firm idea of costs.
