We’re looking for a Bank IVF Laboratory Admin Assistant to join our IVF and Clinical Embryology Team based at the Lister Fertility Centre within The Portland Hospital. This is a fantastic opportunity for someone keen to build a career within embryology and reproductive medicine, offering valuable exposure to one of the UK’s most respected fertility services.

The Lister Fertility Centre is internationally recognised for excellence in IVF treatment and reproductive science. Working closely with embryologists, clinicians and nursing teams, the laboratory plays a critical role in delivering safe, compliant and highly personalised fertility care. This role sits at the heart of the laboratory, ensuring its smooth day‑to‑day operation and supporting the delivery of exceptional patient outcomes.

As a Laboratory Admin Assistant, you’ll play a vital role in supporting the embryology laboratory through high‑quality administrative coordination. From managing treatment documentation and regulatory reporting to supporting the movement of reproductive samples across the UK and internationally, no two days will be the same. This is a role where attention to detail truly matters, offering hands‑on insight into embryology processes and a genuine pathway for those looking to progress within fertility services.

Above all else, we’re committed to the care and improvement of human life. It’s this guiding vision that influences everything we do at HCA UK. From the CEO to colleagues on the lab floor, we all have a part to play in delivering exceptional care. Others may see this as an administrative role within embryology, but to us, you’ll be part of a wider team with a unique sense of purpose — helping to change lives every single day.

What you’ll do

  • Manage laboratory documentation, including scanning, uploading and preparing treatment sheets and labels

  • Ensure accurate daily billing uploads and support robust laboratory record keeping

  • Complete mandatory reporting of treatment cycles and sample movements to the HFEA using PRISM

  • Act as a key point of contact for embryology-related queries via phone and email

  • Coordinate logistics for embryo and sperm transfers, donor sperm imports, and shipment of frozen samples for genetic testing

What you’ll bring

  • Previous administrative or office experience, ideally within a gynaecology or fertility setting

  • Experience managing appointments, records or clinical documentation

  • Strong communication skills with a professional and compassionate approach

  • High level of accuracy and attention to detail

  • Confidence using computer systems and standard office software
