The Opportunity:

We're looking for a Medical PA/ Secretary to join our supportive Primary Care Team based in The London General Practice to work for a GP. The London General Practice is based in Harley Street and is one of London's most prestigious Doctors clinics. LGP cares for a wide range of patients from all over the world, many of them well known from industry, politics, media and film.

The Medical PA role is a very exciting one as you will work closely with a GP to support the care for their patients. As a Medical Secretary you’ll be responsible for ensuring the continued provision of the highest quality of secretarial and administrative support in Primary Care. The team is friendly and you will enjoy working in our busy prestigious private clinic.

What You’ll Be Doing:

  • Secretarial and Administration
  • Provide full secretarial support to the Consultant/Practice including but not limited to the following:
  • Proactively deal with all incoming queries (internal and external), tracking and prioritising requests.
  • Manage all incoming correspondence (letters and emails), responding in a timely and accurate fashion.
  • Ensure that all correspondence (letters and emails) are professionally and accurately written.
  • Coordinate and organise the Consultant(s)/Practice diary, managing dependencies and minimising disruption where possible.
  • Provide other administrative support for the needs of the Consultant(s)/Practice. For example, audio dictation, arranging meetings, filing etc
  • Maintain accurate and organised records.
  • Proactively work with the Consultant communicating key information at the right time.
  • Interface with all other departments/facilities/key teams in communicating necessary information, to assist with patient appointments and admissions.
  • Ensure all communication (internal and external / written and verbal) is polite, professional and adheres to HCA service standards.
  • Be the main interface with the Patient, ensuring communication is thorough and effective and they are kept updated regarding all necessary information.
  • Manage difficult situations in a diplomatic and professional manner.
  • Help coordinate the patient journey, proactively managing actions and interfaces, to enable a smooth experience with the Consultant/Practice. For example, arrange admissions, request investigations, obtaining test results etc.
  • Ensure the Consultant’s Clinic runs smoothly. For example, effective booking of Patient appointments, ensuring all relevant results and correspondence are available etc
  • Ensure all key teams are kept informed of upcoming Clinics and that important information is shared accurately and in a timely fashion.
  • Ensure that all appropriate systems (Meditech/Practice Management System etc) are kept accurately updated with all necessary information for the smooth running of a Clinic. For example, appointments, outcomes, admissions etc.

What You’ll Bring:

  • Proven experience in a senior administrative or medical secretarial role.  
  • Strong knowledge of medical terminology and healthcare procedures.  
  • Excellent organisational, multitasking, and time-management skills.    
  • Ability to work under pressure and handle sensitive information with discretion.  
  • Strong communication and interpersonal skills.  
  • Certification in medical administration or a related field is desirable.
