Monday – Friday, shifts between 7am and 7pm (weekend working also required depending on business needs)

We’re looking for an Endoscopy Admin Coordinator based to join our Endoscopy Unit at The Wellington Hospital. The Administration Coordinator supports the day-to-day operations of a clinical or non-clinical department by managing key administrative and organisational tasks. This includes scheduling, rota coordination, documentation management, regulatory reporting, and acting as a first point of contact. The role ensures accurate data handling, compliance with standards, and smooth communication across teams, contributing to the efficiency and overall performance of the department.

What you’ll do:

  • Support compliance with internal policies and national regulations, including mandatory reporting where applicable (e.g., device registries, audits)
  • Ensure secure handling of sensitive data and patient records
  • Assist in planning and updating departmental rotas for staff and services
  • Coordinate room and appointment bookings in line with operational requirements
  • Review and process department charges, ensuring accurate attribution to patient or client accounts
  • Liaise with finance and pharmacy teams (if relevant) to resolve discrepancies
  • Support budget tracking and order non-clinical supplies; maintain appropriate stock levels
  • Serve as the first point of contact for the department; welcome visitors and handle general enquiries
  • Answer phone calls, manage email inboxes, and provide administrative assistance to internal and external stakeholders
  • Process incoming results or correspondence, ensuring timely review and distribution to relevant parties
  • Assist with payroll support, consultant fees, and invoice management

What you’ll bring:

  • Previous admin experience within a hospital setting is essential
  • Familiarity with Electronic Patient Records is essential
  • Excellent Communication skills
  • Good IT Skills including MS Office and scheduling tools
