Our flexible approach

We offer a full suite of absence management services, with expertise spanning from day one absence recording through to long term disability case management and ill health early retirement assessments.

You can select these services independently, combine them with each other or dovetail them with your existing services and systems.

- Call centre based day one absence recording
- Case management led by an Occupational Health Nurse Advisor (OHNA), either remotely or based on-site

Day One Absence Recording

Our approach to sickness absence recording is proactive, commercially aware and designed to solve problem and overcome the delays in analysis, reporting and intervention.

We have developed a call centre-based absence tracking system, ‘InForm,’ which can be implemented quickly, efficiently and inexpensively to match your needs. Employees speak to a real person who will collect the data and inform managers immediately of any absence.
This system enables:
- accurate collection of data
- real-time reporting
- immediate analysis
- rapid action and intervention for 'red flag' absences, such as musculoskeletal conditions and stress, anxiety or depression

By monitoring absence externally, it leaves your organisational management free to take appropriate action in cases where the issue is a management rather than a medical one, secure in the knowledge that you have a medical view to support you.

Remote Case Management

Whilst the absence management system can be used as a standalone recording tool, it reaches its full potential when ‘red flag’ conditions are referred immediately to a remote case manager.

We have a team of experienced, qualified Occupational Health Nurse Advisors (OHNAs) performing this role, and each client is assigned one or more named OHNAs. The provision of OHNAs is highly supportive to your employees as it identifies staff who need extra help. They are able to make an initial occupational health assessment, contacting employees to gain further information and liaise with HR regarding further courses of action. This allows you to focus resources to those employees at the earliest opportunity and in the most effective manner.

The OHNA can provide the following services:

    Site visits or virtual surgeries with HR and management

    Individual assessment and case management

    Advice on reasonable adjustments for rehabilitation

Red flag for lower back pain

  1. Referred to Health & Safety and GP
  2. Workstation assessment and physiotherapy arranged within 3 days
  3. Returned to work after 2 days, OHNA continues to monitor


Red flag for stress and anxiety, for example PTSD following road traffic accident

Management Information

We have developed the technology to provide regular management information, and our own IT department offers technical support to this.

Base data is generated automatically and reported back to you at regular intervals. Your HR team can also access the web-based function of the system and look at your own statistics. You can assess data across specific departments to see where absence 'hotspots' occur and take appropriate action to deal with them. You can also compare your attendance and absence levels on a 'like for like' basis with other organisations. This data is anonymised so that individual employees cannot be identified by anyone not involved in their case management.

Your HCA remote case manager will also be able to report on the use of resources, such as referrals to health and safety, EAP or Occupational Health Physicians (OHPs).
